Inventory Coordinator (Backend)
Remote (Philippines preferred, but open to qualified candidates elsewhere), 9:00 AM – 6:00 PM China/Manila Time · Listed 3 days ago
A mid-level Inventory Coordinator role at a high-volume e-commerce brand with a China factory and a warehouse partner. You keep the stock sheet accurate seven days a week, flag any size under 7 days of stock the same day, and report straight to the founder. Fully remote, 9:00 AM – 6:00 PM China/Manila time.
Our client sells over 11,000 units a day, and the whole operation runs off one inventory Google Sheet: the factory updates it, the system reads it, the website shows it. When that sheet is wrong, the brand sells sizes it does not have or hides sizes it does, and it costs money every hour.
What you will do
- Own the inventory sheet and make sure the factory updates it every day.
- Check every colour and size for missing, low or negative stock.
- Flag sizes below 7 days of stock the same day; report sizes below 14 days weekly.
- Confirm website stock matches the sheet and escalate sync failures immediately.
- Track every purchase order from cutting to shipping to arrival, with quantity and ETA.
- Chase the China factory and warehouse partner on WeChat until you get usable answers.
Who you are
- At least 2 years in inventory management, supply chain or e-commerce operations.
- You have handled thousands of units a day, not hundreds.
- Strong Google Sheets skills and real daily use of AI tools like ChatGPT or Claude.
- Active WeChat account and available during China business hours.
- You notice discrepancies before anyone points them out, and follow up without reminders.
- Mandarin, apparel experience or past work with Chinese factories is a plus.
What you get
- Compensation and benefits to be confirmed with shortlisted candidates.
- Fully remote, 9:00 AM – 6:00 PM China/Manila time.
- Direct reporting line to the founder, with no layers in between.
- Full ownership of one number the whole business depends on.
- A backend built on automation and AI tools you are expected to use.
How the process runs
- 1.Application review.
- 2.Interview on inventory experience, accuracy and ownership.
- 3.Practical inventory tracking or Google Sheets assessment.
- 4.Final review and offer.
Questions people ask
Why is the company not named?
This is a confidential search. You will learn exactly who the business is once you reach the interview stage.
Can I apply from outside the Philippines?
Yes. The Philippines is preferred, but qualified candidates elsewhere are welcome if you can work 9:00 AM – 6:00 PM China/Manila time.
Do I need to speak Mandarin?
No. You need short, direct, simple English and the patience to follow up with factory contacts who may have limited English. Mandarin is a nice to have.
Is this just data entry?
No. You own the accuracy of the data, spot problems early and chase them to resolution so the founder never has to check behind you.
If you take stock accuracy personally, this role is yours to own.
