What you'll do
- Own the CEO's calendar, inbox, task list and follow-through across the whole team.
- Capture every request from Slack, meetings, email and voice notes, and log it in ClickUp with an owner, deadline and status.
- Chase every open loop until it closes, so nobody has to ask the CEO twice.
- Deliver a daily brief on priorities, decisions waiting and key numbers, plus a weekly summary of what's moving and what's blocked.
- Prep every meeting, turn notes into same-day action items, and track what comes out of leadership meetings.
- Use Claude and automation daily to research, draft, summarise and save the CEO and team time.
Who you are
- 4+ years as an EA, founder assistant or senior VA to a founder, CEO or C-level executive, ideally US-based.
- You have built and run a task system that kept a busy executive from dropping anything; ClickUp strongly preferred.
- Ecommerce or DTC experience strongly preferred, nine-figure brand experience ideal.
- Comfortable being reachable evenings and weekends when something is urgent, with full US Eastern overlap on working days.
- Proactive and obsessive about closing loops; you follow up with senior leaders politely and persistently.
- Not for you if you want a strict 9-to-5, a narrow job description or constant instructions.
